Description | The Activities Secretary plays a vital role in supporting the day-to-day operations of the school's Activities Department. This position requires strong organizational, communication, and multitasking skills to ensure the smooth operation of athletics and activities. The Activities Secretary provides administrative assistance to the Activities Director and other staff members, manages schedules, handles correspondence, and maintains accurate records related to athletics and activities.
Key Responsibilities:
- Administrative Support:
- Assist the Activities Director in daily operations of the Activities Department.
- Duties include, but not limited to; answering phone calls, responding to emails, answering the door, and handling general inquiries.
- Create, update, and maintain files for student-athletes, coaches, and athletic staff, ensuring compliance with school, district, and state policies.
- Communication:
- Distribute communications, including schedules, event details, and announcements.
- Organize and coordinate events for the Activities department.
- Provide general information and assistance to students, staff, patrons, and community stakeholders.
- Record Keeping and Reporting:
- Assist with organization of records related to student-athlete eligibility, physicals, insurance forms, and other required documentation.
- Track athletic participation statistics, equipment inventory, and manage facility usage.
- Assist with financial record-keeping, and ordering of supplies and uniforms for sports teams and school groups.
- Event Coordination:
- Assist in the coordination and logistics for home athletic events, including setup, signage, and communication with visiting team
- Prepare materials for athletic events such as programs, rosters, and schedules.
- Help organize transportation and lodging for away games and tournaments, as needed.
- Compliance:
- Assist in managing eligibility documentation and ensuring student-athletes meet academic and behavioral requirements.
- Other Duties:
- Assist with fundraisers, special events, and team banquets.
- Perform other duties as assigned by the Athletic Director or school administration.
Qualifications:
- High school diploma or equivalent required; postsecondary education in office administration, sports management, or a related field preferred.
- Experience in an administrative or office support role, preferably within a school or athletic department.
- Proficient in Google and other office software.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Knowledge of athletic programs and sports regulations is a plus.
- Ability to maintain confidentiality and handle sensitive information.
- Detail-oriented with strong problem-solving skills.
- Flexible and able to adapt to changing priorities.
